日常商務禮儀交際用語

一、約見

到國外出差之前,一般而言都以傳真和外國的當事者取得晤面的約定,很少用電話聯絡。但是在國內,或是自己在國外需要緊急晤面的時候,利用電話則較為方便。在本篇中所要介紹的是要求晤面的人:

1.正確介紹自己的姓名,與正確獲知對方姓名。

2.要詢問希望與誰晤面,並且把意思正確地傳達給對方。

3.要傳達或詢問約定的時間與場所。

如果能正確地溝通並掌握上述三點原則,那麼你的商務英文電話就可以説是及格了。

(1)經由祕書安排約定

I'd like to make an appoingtment with er. (我想要和Hammer先生約個見面時間)

原則上約定見面商談時,應事先用傳真或信函同志對方較為妥當。如果在事先未能以書面告知時,最好説清楚見面時想説的內容,如 to diascuss the contract [洽談合同事宜].

(2)經由祕書安排約定

Could I see er sometime this week? (我們能不能在這個星期跟Hammer先生見個面?

sometime this week 是[這個星期隨便什麼時候]之意。最好配合自己的日程表説清楚有空閒的時間,如 Either on Wednesday or Thursday.(星期三或星期四都可以)。

(3)經由祕書安排約定

Would it be possible to see er tomorrow? (明天能不能跟 Hammer先生見個面?) 左句含有 Does er have time to meet with me tomorrow? (Hammer先生明天有時間跟我見面嗎?),或 If he does have time,may I meet him tomorrow? (如果他有空,我明天能跟他見面嗎?)之意。

(4)經由祕書安排約定

What time is convenient for him? (他什麼時候有空呢?)也可以説 What time is he available?(他什麼時候有空?),但用 convenient 會給人比較客氣的感覺。如果無法照對方的要求時間見面時,就説I'm available at three o'clock.(我三點有空)來試探一下也無妨。

(5)經由祕書安排約定

I'd like to have lunch with him tomorrow. (我想明天和他吃午飯)

在歐美,商業界常舉行 a lunch meeting [商業午餐].在這種聚餐中,不但容易相互溝通,也可以藉此加深彼此交情,因而用餐的時間長達三小時的情形也屢見不鮮。

(6)直接求見本人

If you have time, I'd like to meet with you today. (如果您有時間,我想今天跟您見個面)

雖然已約好時間,可是有急事想提早見面時,就可以用這句。如果沒有空閒時間就説 I'm sorry,but I'm really tied up today.(很抱歉,我今天真的沒空)。

(7)直接求見本人

Could you spare me about half an hour? (能不能給我半個小時的時間?)

這句話是對熟人説的話。spare是[騰出(時間),分讓(東西)之意。有時間的話説 Sure.,OK.等;如果沒空的話説 I'm afraid I can't.(恐怕不行)就可以了。

(8)直接求見本人

Could we get together at aurant? (我們能不能在洛城餐廳會面?)

get together是[聚會、會面]之意的較為隨便的説法。説明聚會地點,如某某餐廳等時,最好指出大家共同認識(shared knowledge)的目標比較好。

(9)直接求見本人

I was wondering if we could arrange a meeting to discuss the new product. (我想,我們是不是可以安排一次會面來討論新產品)

這句是經由第三者介紹而尚未謀面的人在約定晤面時使用。I was wondering if……的説法含有不太拘束形式的温和語氣。還可以用Would it be possible to meet and discuss the new product?。

(10)直接求見本人

I'm calling about what we discussed the other day. (我打電話是為了前幾天我們所討論的事)

這句是已見過面想再繼續時的説詞。接到電話的人可以答稱 I've been waiting for your call.(我一直在等您的電話裏),並接着説Let's get together. When can we meet to talk?(我們來聚一聚。什麼時候可以見面?)

(11)詢問目的

What would you like to talk to me about? (你要跟我談些什麼事?)

也可以用 Can l ask you what you want to discuss?。要見面之前,事先了解討論的內容、前後關係、背景(context)等有助於預作交涉前的準備工作。

(12)表示同意

Sure. (好啊!)

簡短地表達肯定的方式有 Certainly. (當然可以),Of course.(當然)等,意思都差不多。在談話中如果常用這種簡短詞句會給人幼稚的感覺。應該用一些不同説法才能給人較佳印象。

(13)表示拒絕

I don't think we have to meet on this subject. (關於這個問題,我不認為我們有見面的必要)

對於不認識的人或推銷人員的求見電話,認為無需見面時,可以用這句話,或明確地用It's probably not necessary to meet.(沒有必要見面)來加以謝絕。

(14)與代理人會面

I'm afraid I can't, but n will meet you instead. (我不能會面,但n會替我跟你見面)

句首用 I'm afraid I can't……會給人非常客氣的印象。若不小心而唐突地説出I'm too busy to meet you.,説不定會給對方帶來受輕視的感覺。

(15)想要決定的時間與場所

May I arrange the time and the place, please? (能不能讓我安排時間與場所?)

也可以 Do you mind if I set the time and location for our meeting? (我來定見面的時間和地點可以嗎?)。開會的時間和地點常常影響商談的成果,因而配合對方時間的同時,要把握主導權。

(16)詢問適當的時間

When do you have free time? (您什麼時候有空?)

這是自己有時間可以配合對方來約定見面時間的問法。也可以用 When are you available? 談商務時,free time 指的是除去假日及下班後的時間。

(17)告知適當時間

I'm free at three o'clock today. (我今天下午3點有空)

此句是(3點以前不方便,但3點以後才有空)的意思。也可以用 I'm available at three o'clock.如果是[3點到4點有空]的話,就用availbale from three o 'clock until four 即可。

二、回答問候

1、下面是有人向你問候或是介紹你時的回答用語:

How are you? I'm good / I'm fine, thank you. I'm happy to meet you. I'm glad/happy to meet you too.

It's a pleasure to meet you. The pleasure's all mine. How are you doing? I'm doing fine/well/very well, thank you.

2、在絕大多數的商務場合 ,下面的詞語不合適,因為太誇張了:

Highly, extremely, exceedingly, greatly, overjoyed, ecstatic, wonderful, thrilled, charmed, elated, enchanted, lovely

3、以下的單詞要避免使用,因為它們很容易造成誤解:

Anxious (顯得過於熱心) ,Content (顯得自滿和安逸)

4、下面的表達顯得有些多餘和過於華麗:

on cloud nine tickled pink,in seventh heaven cool, groovy, fantastic

5、下面的詞被認為是不夠積極或是不夠肯定的回答:

Fair, so so, all right, okay/OK

 三、商務會議時間臨時變動

Here are some common usages and variations for the time-management terms:

以下是一些有關時間管理的通常用法和變化:

1.I'd like to call a meeting for …

我想召集一個會議……

meeting's postponed indefinitely.

會議被無限期延遲了。

're having an impromptu meeting!

我們在開一個臨時會議!

's an all-hands meeting.

5.I need to meet with the CEO. Can you make an appointment for me?

我需要見CEO.你能幫我預約一下嗎?

meeting's rescheduled for …

會議改在……召開

se notify everyone the meeting is cancelled.

四、向商務顧問請教公司結構

Len Matheson is the owner of a small company that's rapidly expanding. He's getting advice from Mary Carlyle, a business consultant, on developing a functional organizational structure to better deal with his company's expansion. (Len Matheson是一家發展迅速的小公司的老闆,為了更好地發展自己的企業,他請教商務顧問Mary Carlyle有關公司職能組織結構的建設問題。 )

Mary: Mr. Matheson, I've studied all your reports, and your company is making excellent progress.

Mary: Matheson先生,我已經看了貴公司的報告,看來貴公司業績很不錯。

Len: Thank you, Miss Carlyle. And please, call me Len. So, what are your recommendations for my new organizational structure?

Len: 謝謝,Carlyle小姐,請稱呼我Len吧。請問您對我們新的組織機構有什麼建議?

Mary: Call me Mary. First, let's start with your operation here. You should set up separate Administrative,Clerical, Back office, and Support functions. There's too much work for your personnel to wear more than one hat any more.

Len: Yes, they're already overworked. But that will entail more Managerial functions, won't it?
